About this opportunity


We are looking for a Receptionist for our Tram Hub CBD headquarters. Reporting to the Executive Assistant, this role involves:


  • Greeting and assisting visitors to Tram Hub, providing assistance with guest management system, assisting with general visitor enquiries
  • Handling and screening incoming calls, checking/returning voicemail messages
  • Receiving inward deliveries, organising outward deliveries (i.e. couriers)
  • Checking, sorting and distributing mail/correspondence (arrange postage/overnight envelopes/stamps)
  • Catering coordination (includes orders and invoicing)
  • Checking on meeting room bookings, room tidiness and information available in rooms
  • Managing office stationary stocktake and ordering
  • General housekeeping; tidy kitchen areas, keep meeting rooms tidy and ensure all relevant manuals are in place and restock utility rooms
  • Assisting with hotel/travel/venue bookings when required
  • Preparing and submitting expense claims
  • Raise purchase orders and other administrative duties as required
  • Uniform fitting room management

About you


Ideally you will have:


  • Previous experience in a receptionist role, or in a similar customer facing role
  • The capability to work within a team and provide high levels professionalism both internally and externally
  • The ability to identify how to prioritise and action administrative tasks in a methodical and organised approach
  • An understanding and awareness of OH&S and environmental issues in the workplace
  • Experience in Microsoft software and web apps (such as Outlook, Teams, Excel, and SharePoint)
  • Essential capability to register and allocate business correspondence, proofread for grammar, spelling and punctuation with a high degree of accuracy
  • Excellent customer service skills
  • Must maintain the strictest confidentiality and integrity at all times
